Automate invoice data entry from email to spreadsheet
Zapier extracts invoice details from email attachments and writes them to a Google Sheet or Airtable before you open the file.
Every invoice lands in your sheet with vendor, amount, date, and invoice number extracted and formatted.
- 1
Test with ten real invoices
Forward historical invoices to the trigger email. Check that vendor names and amounts match the source.
- 2
Set up the fallback notification
A failed extraction should not silently skip an invoice. Route failures to a person.
- 3
Run it in parallel with manual entry for two weeks
Compare the Zap output to what you would have entered. Fix the parser before you rely on it.
The prompt to paste
Design a Zapier workflow that extracts invoice data from email attachments and writes it to a spreadsheet. Trigger: - Gmail or Outlook: new email with attachment matching "invoice" or "receipt" in subject or filename Steps: 1. Download the attachment (PDF or image) 2. Use OCR or a document parser (Zapier's built-in parser, or integrate with a service like Docparser or Parseur) 3. Extract: vendor name, invoice number, date, total amount, due date 4. Write a new row to Google Sheets or Airtable with extracted fields and a link to the original email 5. If extraction fails on a required field, send a Slack notification or email with the attachment for manual review Show the Zap steps, the parser configuration, and the fallback logic for missing data.
OCR and parsers fail on non-standard layouts. Always route failures to a human review queue.
