Sort the inbox into three piles
Paste a batch of email subjects and first lines. ChatGPT sorts them into reply, waiting, and archive.
A pile you can answer today, a pile that is waiting on someone else, and a pile to archive.
- 1
Copy subjects only
Take the subject and two lines. Leave off attachments, account numbers, and anything you would not read aloud.
- 2
Sort, then edit
Use the piles as a list. Rewrite any draft that sounds unlike you before it sends.
- 3
Archive the noise
Clear the Archive pile in the mail client. Do not ask the model to send anything.
The prompt to paste
I am triaging my inbox. I will paste subjects and the first two lines of each message. I will not paste secrets, passwords, or full customer records. Sort every message into one of three piles: - Reply today: a person is waiting on me, and a short answer unblocks them. - Waiting: the next move belongs to someone else. Name who. - Archive: no action, or it is noise. For each Reply today item, draft a three-sentence answer I can edit. Do not promise dates, refunds, or discounts I did not mention. If a message is ambiguous, put it in Waiting and say what is missing.
The model does not know who is actually waiting. You confirm the Reply pile.
