Automate contract approvals and reminders end-to-end

Make.com orchestrates contract workflows: draft uploaded → approvers notified → signed copy filed → renewal reminders scheduled.

·Operations·50 min·Deep

A contract moves from draft to signed and archived without manual handoffs, and you get a renewal alert 60 days out.

  1. 1

    Map your contract types first

List the contract types, typical approvers, and renewal windows before you build the workflow.

  2. 2

    Test with a dummy contract

Upload a fake contract and follow it through each step. Confirm approvers get notified and reminders schedule correctly.

  3. 3

Run in parallel with your current process for a month

Do not rely on the workflow until you have seen ten real contracts move through it successfully.

The prompt to paste

Design a Make.com workflow for contract lifecycle management from draft upload to renewal reminder.

Trigger:
- File uploaded to a Google Drive or Dropbox folder named "Contracts - Pending Approval"

Steps:
1. Extract contract metadata from filename or a structured folder (vendor name, type, expiry date)
2. Create a record in Airtable or a Google Sheet with status "Pending Approval"
3. Send approval request to designated approvers via Slack or email with a link to the contract and an approval form
4. On approval:
   - Move the contract to "Contracts - Approved" folder
   - Update Airtable status to "Approved"
   - Send a copy to the vendor or counterparty via email (optional)
5. On rejection:
   - Move to "Contracts - Rejected" folder
   - Notify the uploader with rejection reason
6. Schedule a renewal reminder: if the contract has an expiry date, schedule a reminder 60 days before expiry to the contract owner
7. Archive the workflow log to a "Contract History" sheet

Show the module sequence, approval form structure, and how reminders are scheduled (use Make's delay or a scheduling module).

Approval flows break when an approver is out. Add a fallback or escalation path for overdue approvals.
